CRMs quickly accumulate fields nobody understands, updates or feels confident deleting. Field governance requires every new item to support a decision or workflow and have clear ownership.
Require a business purpose
Record which process, segment or report needs the field and what happens without it. “It might be useful later” does not justify permanent collection.
Define the format and source
Specify data type, permitted values, defaults, system of record and who updates it. Free text complicates automation and analysis.
Limit access and classify sensitivity
Classify personal and confidential information and apply least privilege. Do not copy sensitive context into notes without a retention rule.
Measure quality and use
Monitor completeness, invalid values and dependent reports and workflows. Frequent presence does not mean correct use.
Retire fields safely
Stop new writes, inform consumers, migrate necessary data and then retire the field. Preserve mappings so historical information remains interpretable.
