What is an AI knowledge system?

It connects organised knowledge sources to search or answer support. Its quality depends on documents, their structure and the checks in place. Adding a model alone does not organise the information.

Is uploading all our files enough?

Not always. Old versions, duplicates and conflicting instructions can cause failures. Approved sources must first be selected and organised. We also need to know who may access each piece of information.

Will it show where an answer comes from?

Referencing the original source is a core design objective wherever supported. We check whether the reference is relevant and its content supports the answer's claims.

Can different users access different sources?

Yes, with appropriately designed access controls. Roles and permissions are defined before release. A prompt instruction alone is insufficient to restrict access to information a user should not see.

What happens when two documents disagree?

The conflict should be identified and referred to the knowledge owner. We define version and source-priority rules, but do not allow arbitrary selection without a documented basis.

How is new information added?

We design a source approval and update process. Depending on the environment, updates may be manual or connected to an approved document system. Changes need review before wider use.

How do we know it finds the right answers?

We use representative questions to check retrieval, answers and references. We include cases where information is absent or ambiguous. The application must handle those gaps correctly too.

Do we need to change how we write documents?

Sometimes clearer structure, titles or version identification are needed. These improvements help people use the knowledge too. Initially, we assess which changes are essential and which can be introduced gradually.
