Record contractual dates

Keep the start, expiry, notice period, automatic renewal and cancellation method. The billing date is not always the same as the last day for a decision.

Assign a service owner

Every tool needs someone who understands its usage, dependencies and alternatives. Accounting sees the charge but may not see the operational risk.

Measure active value

Look at users, critical workflows, adoption and outcomes rather than simply counting licenses. Distinguish an unused tool from one working invisibly in the background.

Start the evaluation early enough

For a critical service, begin the review months ahead to leave time for negotiation or migration. The threat of switching has no value if it cannot be carried out.

Record an intentional decision

Renewal, reduction, replacement or retirement needs a rationale and another review date. An automatic charge should not be equivalent to approval.
