A tool can be technically suitable and still never become part of the work. Adoption is decided in the transition from existing habits to a new workflow, not in a presentation of features.
Map the first real task
Examine what the user must complete in the first week and which systems it touches. General training cannot replace a successful first use.
Measure access steps
Permissions, MFA, invitations and environments can delay getting started. Record where users give up.
Identify duplicate entry
If the new tool requires work to be repeated in an old system, friction will win. Design an integration or a clear date for retiring the old workflow.
Offer help in context
Short examples, office hours and an easy support channel are more useful than a large manual. They also reveal real obstacles.
Measure outcomes, not logins
Logging into a tool does not prove adoption. Track completion of core tasks, time and quality.
