An automatic meeting summary can reduce recording time while creating false certainty. Well-written prose does not prove that each person's decision, disagreement or commitment was accurately represented.

To be useful, AI should act as a drafting assistant within a process in which participants confirm critical points.

Define what will be recorded before the meeting

Use a consistent structure: purpose, decisions, actions, owners, deadlines and open questions. Inform participants about recording and follow the company's policies for permission, storage and access. Do not assume every conversation is suitable for automatic transcription.

Separate what was said from what the system infers

The summary should flag uncertainty and avoid turning a suggestion into a decision. If no owner or date was stated, leave the field open rather than filling it by assumption. For a critical point, retain a link to the relevant part of the approved recording where permitted.

Conduct a quick human review

The facilitator checks names, numbers, commitments and disagreements before distributing the notes. Action owners should be able to correct an assignment that was not agreed. Approval should happen promptly, while the context is still fresh.

Transfer only actions into the work system

Do not leave action items buried in a document. After confirmation, create the corresponding tasks with an owner, date and context link. Avoid automatically creating dozens of unchecked tasks: the noise can cause the team to ignore genuine commitments too.

Limit retention and access

Record where audio, transcripts, summaries and tasks are stored and how long they are needed. Restrict access according to the content. Do not retain full recordings forever simply because storage is easy.

Measure the quality of follow-through

Check how many actions needed correction, how many were completed and which open questions remained without an owner. Success means more than producing a summary in seconds: it means having an accurate shared memory that leads to action.
